Core Responsibilities

An Information Management Officer is tasked with a broad range of duties centered on effective and secure information handling, spanning both traditional and emerging technologies. Key responsibilities include:

  • Information System Planning and Implementation: They plan and execute major information management initiatives that affect large user groups, including services for document, data, web content, and records management. This includes developing staff intranets/web portals, business intelligence dashboards, and integrating emerging technological solutions, including AI.
  • Data and Analytics: The officer identifies and obtains necessary information and data, creates data collection plans to ensure quality, and supports data analysis through visualizations and data services.
  • Records and Archives Management: A significant focus is managing the life-cycle concept for information assets. This involves records accession and disposition, applying retention schedules, overseeing storage, and performing records appraisal. They also ensure that storage facilities meet environmental standards.
  • Policy and Advisory Services: They provide expert advice on information management and record-keeping policies and practices, conducting needs and business process analysis, and defining standard operating procedures for dissemination and access.
  • Technology and Improvement: They research and evaluate new services and applications of technology in areas like data management and web publishing, participate in system improvement projects (e.g., feasibility studies, development, and testing), and provide user support.
  • Training and Outreach: They develop and conduct training for staff on new services and systems. They also participate in client outreach and user education programs to promote the effective use of information resources.

Required Qualifications and Experience

The position requires a high level of education and substantial, relevant professional experience:

  • Education: An advanced university degree (Master’s or equivalent) is required in a field such as information management, data science, computer science, or information systems. A relevant Bachelor’s degree with an additional two years of experience may be accepted.
  • Work Experience: A minimum of five years of progressively responsible experience is required in areas like information management, data management, information systems project management, library science, record keeping, or modern archives management.
  • Languages: Fluency in either English or French (both working languages of the UN) at a UN Level II (proficient) is required for reading, writing, listening, and speaking.

Key Competencies

Successful candidates must demonstrate expertise and proficiency in several core areas:

  • Professionalism: Candidates need expertise in data and information governance, lifecycle management, retrieval, and analysis. Familiarity with search strategies, data/metadata, technology-assisted review, and scripting skills (e.g., Python, SQL) for automation is highly valued. A thorough understanding of Agile project management methodologies is also beneficial.
  • Planning and Organizing: The officer must be able to set clear goals, prioritize activities, allocate resources, and monitor plans efficiently.
  • Client Orientation: A strong focus on clients is essential, which includes understanding their needs, building trust, keeping them informed of progress, and consistently meeting delivery timelines.
