The Eastern and Southern Africa Higher Education Centres of Excellence Project supports the government of 10 participating countries – Burundi, Ethiopia, Kenya, Malawi, Mozambique, Rwanda, Tanzania, Uganda, Zambia and Zimbabwe – to collectively address a set of key development challenges facing the Eastern and Southern Africa region.
In Uganda, there are four Centres: The African Centres of Excellence for Agro-ecology and Livelihood Systems (ACALISE) hosted by Ugandan Martyrs” University (UMU), the Centre for Materials Production and Nano Technology (MAPRONANO) hosted by Makerere University, the Makerere Regional Centre for Crop Improvement (MARCCI) hosted by Makerere University and the Pharm Bio-Technology and Traditional Medicine Center (PHARMBIOTRAC) hosted by Mbarara University of Science and Technology (MUST).

The Ministry of Education and Sports hosts the National Steering Committee (NSC) of the Project that has the objective to oversee the implementation of Africa Centres of Excellence (ACE) activities in Uganda.

The Eastern and Southern African Centres of Excellence Project under the Ministry of Education and Sports now has a vacant position of Project Administrator and invites applications from suitably qualified candidates. .

Job Specifications/requirements

The applicant must hold an honours Bachelor’s Degree in Secretarial and Administrative studies, Social Work and Social Administration, Social Sciences (Administration option), Bachelor of Business Administration (Management Option) from a recognized University plus a minimum of a Post Graduate Diploma in Project Administration / Management / Monitoring and Evaluation / Business Administration or any related field.

Work Experience

At least five (5) years work experience in administration / office management in a Public Sector organization / project environment / or reputable Private Sector organization.

Job Summary

The Project Administrator will ensure that high quality project office administration and management procedures are achieved.

Duties and responsibilities

• Provide support to Project Coordinator (PC) in all office administrative transactions.
• Arrange for all Project Management meetings (internal and external);
• Support and facilitate activities of visitors:
• Supervise receipt, delivery and processing of correspondences and handling general enquiries in consultation with the project Coordinator;
• Ensure that internal errands for staff including delivery of documents to relevant offices are affected;
• Manage all travel (local and abroad) arrangements for project staff or stakeholders sponsored by the project;
• Manage the Administrative Desk at meetings, workshops and functions organized by Project Coordinator;
• Take minutes during project management meetings and follow up on agreed action points;

• Arranging boardroom bookings, local travels and, occasionally, travelling with project teams to support administrative functions;
• Oversee the printing photocopying and scanning and organizing office documents in the required order, and
• Perform any other duties assigned by his/her supervisor.
