Compensation

- Hours: 15 hours/week (anticipated)
- Payment Structure: Bi-weekly, internal accounting schedule
Key Objectives
- Deliver Reliable Support: Ensure the ED and organizational teams receive proactive, dependable administrative assistance.
- Maintain Organization: Keep all administrative processes well-organized, accurate, and completed in a timely manner.
- Facilitate Communication: Strengthen organizational efficiency by supporting clear and consistent communication and coordination.
Key Responsibilities
Executive & Operational Support
- Serve as the primary contact for ED inquiries and scheduling.
- Manage calendars, travel arrangements, meeting logistics, and digital filing systems.
- Anticipate the ED’s needs, resolving administrative issues proactively.
- Coordinate organizational engagements, deadlines, and follow-ups.
- Draft, edit, and file documents, contracts, and communications.
- Optimize filing and logging systems for better communication and reference, particularly for accounting, compliance, and executive needs.
Finance & Administrative Operations
- Oversee daily finance tasks: invoicing, reconciliation, vendor payments, and expense tracking.
- Maintain organized digital records for contracts, expenditures, and compliance-related filings.
- Prepare financial summaries, timesheets, and reports for ED and Board review.
- Support compliance activities, grant-related reporting, and organizational filings.
Team & Project Support
- Assist with onboarding new contractors, freelancers, and team members.
- Ensure consistent communication and alignment within the organization.
- Maintain up-to-date records, databases, and project workflows.
Qualifications & Skills
- Communication: Excellent written and verbal communication skills; demonstrates discretion and professionalism.
- Experience: Background in executive support, operations, or administrative coordination.
- Organization: Superior ability to prioritize and manage multiple tasks concurrently.
- Financial Literacy: Comfortable with invoicing, reconciliations, and financial reporting.
- Technical Skills: Proficient with digital tools—Google Workspace, Excel/Sheets, Notion, Bill.com (or similar platforms).
